Privacy policy
Effective October 20, 2026
The short version: Dear Bot sends your AI assistant setups. Your assistant does the work inside your own account. We keep your email address, a few settings, and one-word status signals. We never see your email, calendar, files, contacts, or what your assistant finds. We don't sell or share your data, and you can delete it yourself at any time.
Who we are
Dear Bot (getdearbot.com) is run by Mason Ezell ("Jerry"), an individual doing business as Dear Bot. Contact: hello@getdearbot.com · [postal address goes here before launch].
What we collect
When you sign up
- Email address, which can be your own or your assistant's address.
- Which assistant you use (for example Muse, Hark, or Grok Bot) and how you want setups delivered (email or your personal page).
- Consent records: when you signed up, consented, confirmed, and (if it happens) unsubscribed.
- Optional tags you or your assistant fill in with your OK: what's connected, whether there are kids at home, your comfort level, and the interests you type in.
- An optional wish ("one thing you wish your assistant did"), if you write one.
- Your coded-sharing choice (on or off; see below).
- Referral codes: your own share code, and the code that brought you, if any.
While you use Dear Bot
- Delivery records: which setup was sent to you, when, and whether delivery succeeded.
- Status words your assistant sends for each setup, from a fixed list (like
installed,ok-used,failed-step-2,removed). If you change a setup, we get only the kind of change (likeschedule, later), never what you changed it to. - Keep and Drop taps.
- Page and link visits on your personal links, with the time and the browser or bot name (user agent). We use these to filter out email security scanners.
- Copies of the emails we send you (recipient, subject, text), kept to run and troubleshoot the service.
- Share signups: when someone subscribes with your share code, we note that it happened. We store nothing about your friend until they subscribe themselves.
- Waitlist (only if it's open): your email address and when you asked, used for one email when we open.
Coded quiz answers (only if you opt in)
Your assistant may ask you a quick multiple-choice question now and then. By default your answers stay with your assistant. If you turn on coded sharing, we receive only the question number and the option you picked (for example "question 1, option 2"). Never free text. You can turn sharing off by asking your assistant, or by emailing us.
What we never collect
- The contents of your email, calendar, files, contacts, messages, or any connected account.
- What your assistant reads, finds, or drafts for you.
- Passwords, payment details, or government IDs.
- Your IP address. Our app doesn't store it. Our host, Cloudflare, sees it to deliver the website (see below).
- No tracking pixels, advertising cookies, or third-party analytics. The site sets no cookies.
How we use it
- To send you setups, show your personal page, and pick which setups fit people like you.
- To see which setups people install and keep. Partners and sponsors only ever see totals, never you.
- To keep the service safe and working, including filtering email scanners and fixing setups that break.
- To answer you when you write to us.
We don't sell your data, rent it, use it for outside advertising, or use it to train AI models. Legal bases (where GDPR-style laws apply): your consent (signup, coded sharing, waitlist) and our legitimate interest in running and securing a service you asked for.
Who processes it for us
- Cloudflare, Inc. hosts the website and database (Workers and D1) and keeps short-lived operational logs for a few days.
- Resend will deliver our emails once email sending goes live. It will process your email address and the messages we send you.
Both process data on our behalf under their own terms. Data is stored in the United States. We may disclose data if the law requires it, or to protect people's safety.
How long we keep it
- Account data (email, settings, tags): while you're subscribed. After you unsubscribe we keep the email address and unsubscribe date so we honor your choice, until you ask us to delete it.
- Status words, taps, delivery records, and coded answers: while you're subscribed, then deleted with your data on request.
- Visit logs: 180 days. Copies of emails we sent: 90 days. Both are removed automatically.
- Waitlist entries: until we send the opening email, or until you ask us to remove them.
Your choices and rights
- Unsubscribe in one tap from any email, or tell your assistant "remove Dear Bot". We stop at once. US law (CAN-SPAM) gives us up to 10 business days; we don't need them.
- Delete your data yourself: open your personal page and choose "Delete my data". That permanently removes your subscription and every record linked to it.
- Access, correct, export, or object: email hello@getdearbot.com from your subscribed address. We answer within 30 days. Wherever you live, you have these rights with us. If you're in the EU, UK, or a US state with a privacy law, you may also complain to your local data protection authority.
- Withdraw consent for coded sharing at any time. It only affects future answers.
Security
Your personal links contain long random codes, so treat them like a password. Anyone with your link could view your page or send status words for you. They can't see your email or accounts, because we don't have them. Data is encrypted in transit (HTTPS). Access is limited to the operator.
Children
Dear Bot is for adults. It isn't meant for anyone under 18, and we don't knowingly collect data from children. Setups that touch family life keep that information inside your own account.
Changes
If we change this policy in a way that matters, we'll update the date above and tell subscribers by email before it takes effect.
